Read Code of Conduct

Saints of Florida, Inc. expects all students and families to uphold these standards at every practice, event, and activity. Parents are responsible for reviewing this Code of Conduct with their children and ensuring their understanding of these expectations.

1. Respect Coaches

Students will listen to and follow the instructions of coaches and SAINTS staff at all times. Coaches dedicate their time and expertise to support each student's growth. Disrespectful behavior toward coaches — including arguing, ignoring instructions, or speaking rudely — will not be tolerated.

2. Respect Equipment & Environment

Students will handle all equipment with care and use it only as directed. Program facilities and shared spaces must be kept clean and orderly. Students are responsible for any intentional damage to equipment or property.

3. Respect Others

All students, families, coaches, and volunteers deserve to be treated with dignity and kindness. Bullying, harassment, exclusion, or any form of disrespectful treatment toward others — whether in person or online — is strictly prohibited.

4. Participate

Students are expected to arrive on time, prepared to engage fully in each session. Consistent participation builds skills, supports teammates, and honors the commitment made by coaches and the organization to provide quality programming.

5. Good Sportsmanship

Win or lose, students will demonstrate grace, humility, and encouragement toward teammates and opponents alike. Celebrating others' successes, accepting outcomes positively, and supporting teammates through difficulty are the hallmarks of good character.

6. Cell Phone Usage

Cell phones are not permitted during SAINTS (including snack time) unless the child has a medical device that requires it (e.g., a glucose monitor). Parents wishing to contact their child during a session should do so through the lead coach.

7. Choose Words Wisely

Students are expected to communicate with care. Profanity, name-calling, trash talk, and hurtful language have no place in our PE program. Words have lasting impact — students are encouraged to use them to build others up, not tear them down.

Non-Compliance

Failure to follow this Code of Conduct will result in a meeting with the student's parent/guardian to discuss the behavior and determine appropriate measures. Repeated or serious violations will result in suspension from or termination of participation in Saints of Florida, Inc. programs. Our goal is always to address issues constructively and help students grow — but the safety and experience of all participants comes first.

Please read these terms carefully before using our registration platform.

1. Acceptance of Terms

By accessing or using the online registration platform operated by Saints of Florida, Inc. ("we," "us," or "our"), you ("you" or "Parent/Guardian") agree to be bound by these Terms of Service ("Terms"). If you do not agree to these Terms, do not use this platform.

By submitting a registration and/or payment through this platform, you represent that you are at least 18 years of age and are the parent or legal guardian of the student(s) being registered.

2. Description of Service

Saints of Florida, Inc. is a 501(c)(3) nonprofit educational organization serving homeschool families in the State of Florida. This platform provides the following services:

  • Online registration for educational programs and activities
  • Secure payment processing for registration fees
  • Parent Portal for managing registrations, viewing receipts, and contacting support
  • Generation and storage of receipts for scholarship reimbursement purposes

3. User Accounts

Parent Accounts

Parent accounts are accessed via email-based magic links. You are responsible for maintaining the security of the email address associated with your account. You must notify us immediately if you believe your account has been accessed without authorization.

Staff Accounts

Staff accounts are created by invitation and secured with passwords. Staff members are responsible for maintaining the confidentiality of their credentials.

Account Accuracy

You agree to provide accurate, current, and complete information when creating your account and registering students. You are responsible for updating your information promptly if it changes.

4. Registration and Enrollment

  • Submitting a registration form does not guarantee enrollment. Registration is only confirmed upon successful payment processing.
  • Enrollment is subject to program capacity. If a program reaches capacity, you may be placed on a waitlist.
  • We reserve the right to cancel or modify programs, locations, schedules, and capacity at our discretion. If we cancel a program for which you have registered and paid, you will receive a full refund.
  • You are responsible for ensuring that all student information submitted is accurate and complete. Inaccurate information may delay or prevent registration.

5. Payments and Fees

Payment Methods

We accept the following payment methods through our secure payment processor, Stripe:

  • Credit/Debit Cards: Processed immediately. Your card is charged at the time of registration.
  • ACH Bank Transfer: Processing takes 3–5 business days. Your registration is held in a pending state during this period. If the ACH transfer fails, you will be notified and given a grace period to retry payment before your registration spot is released.

Processing Fees

A processing fee may be applied to credit/debit card payments to cover third-party transaction costs. The processing fee percentage is disclosed on the registration form before you submit payment. ACH bank transfers do not incur a processing fee.

Late Fees

Registrations submitted after a specified deadline may be subject to a late fee. The late fee amount and applicable date are displayed on the registration form.

Pricing

All prices are listed in United States Dollars (USD) and include applicable program fees. Prices are subject to change, but any price changes will not affect registrations already confirmed and paid.

6. Refunds and Cancellations

  • Refund requests must be submitted to our support team.
  • Refunds are processed to the original payment method and may take 5–10 business days to appear on your statement.
  • We reserve the right to deny refund requests that do not comply with our refund policy or that are submitted after applicable deadlines.
  • Processing fees are non-refundable.
  • If we cancel a program, you will receive a full refund including any processing fees paid.

7. Receipts and Documentation

Upon successful payment, we generate a per-student receipt in PDF format. Receipts are stored securely and can be downloaded from the Parent Portal at any time. Receipts are provided for scholarship reimbursement purposes and include the student name, parent/guardian name, itemized fees, payment method, and our organization's EIN.

You are responsible for verifying the accuracy of receipt information. If you notice an error, contact our support team to request a corrected receipt.

8. Liability Waiver

By registering a student for any program through this platform, you acknowledge and agree that:

  • Participation in educational and physical activities carries inherent risks
  • You assume all risks associated with your child's participation in our programs
  • You release, discharge, and hold harmless Saints of Florida, Inc., its officers, directors, employees, volunteers, and agents from any and all claims, damages, losses, or expenses arising from your child's participation
  • You authorize Saints of Florida, Inc. to seek emergency medical treatment for your child if you cannot be reached, and you agree to be responsible for any resulting medical expenses

9. Acceptable Use

You agree not to:

  • Use this platform for any unlawful purpose
  • Attempt to gain unauthorized access to any part of the platform, other accounts, or computer systems
  • Interfere with or disrupt the platform or servers
  • Submit false, misleading, or fraudulent information
  • Use automated tools (bots, scrapers) to access the platform
  • Attempt to reverse-engineer or decompile any part of the platform

10. Intellectual Property

All content on this platform, including but not limited to text, graphics, logos, images, and software, is the property of Saints of Florida, Inc. or its licensors and is protected by applicable copyright and trademark laws. You may not reproduce, distribute, or create derivative works from any content without our prior written consent.

11. Privacy

Your use of this platform is also governed by our Privacy Policy, which describes how we collect, use, and protect your personal information. By using this platform, you consent to our data practices as described in the Privacy Policy.

12. Disclaimer of Warranties

This platform is provided on an "as is" and "as available" basis without warranties of any kind, either express or implied, including but not limited to implied warranties of merchantability, fitness for a particular purpose, and non-infringement. We do not warrant that the platform will be uninterrupted, error-free, or free of viruses or other harmful components.

13. Limitation of Liability

To the maximum extent permitted by applicable law, Saints of Florida, Inc. and its officers, directors, employees, and volunteers shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including but not limited to loss of data, revenue, or anticipated savings, arising out of or in connection with your use of or inability to use this platform.

Our total liability for any claim arising out of or relating to these Terms or the platform shall not exceed the total amount you paid to us in the twelve (12) months preceding the event giving rise to the claim.

14. Indemnification

You agree to indemnify, defend, and hold harmless Saints of Florida, Inc., its officers, directors, employees, volunteers, and agents from and against any and all claims, liabilities, damages, losses, costs, and expenses (including reasonable attorneys' fees) arising out of or in connection with your use of the platform, violation of these Terms, or infringement of any third-party rights.

15. Governing Law and Dispute Resolution

These Terms shall be governed by and construed in accordance with the laws of the State of Florida, without regard to its conflict of law provisions. Any dispute arising out of or relating to these Terms or your use of the platform shall be resolved exclusively in the state or federal courts located in Seminole County, Florida, and you consent to the personal jurisdiction of such courts.

Before initiating any formal legal proceedings, you agree to first attempt to resolve any dispute by contacting us directly. We will attempt to resolve the matter through good-faith negotiation within 30 days.

16. Modifications to Terms

We reserve the right to modify these Terms at any time. If we make material changes, we will provide notice by updating the "Last Updated" date and, where practicable, by notifying registered users via email. Your continued use of the platform after the effective date of any changes constitutes your acceptance of the revised Terms.

17. Termination

We reserve the right to suspend or terminate your access to the platform at any time, with or without cause, and with or without notice. Upon termination, your right to use the platform ceases immediately. Provisions of these Terms that by their nature should survive termination (including, without limitation, Sections 8, 12, 13, 14, and 15) shall survive.

18. Severability

If any provision of these Terms is held to be invalid or unenforceable, the remaining provisions shall continue in full force and effect. The invalid or unenforceable provision shall be modified to the minimum extent necessary to make it valid and enforceable.

19. Entire Agreement

These Terms, together with our Privacy Policy, constitute the entire agreement between you and Saints of Florida, Inc. regarding your use of this platform, superseding any prior agreements.

Your privacy matters. This policy explains how we collect, use, and protect your information.

1. Who We Are

Saints of Florida, Inc. is a 501(c)(3) nonprofit educational organization serving homeschool families in the State of Florida.

2. Information We Collect

Information You Provide Directly

  • Parent/Guardian Information: Name, email address, phone number, and mailing address
  • Student Information: First name, last name, and date of birth
  • Registration Data: Program selections, location preferences, t-shirt sizes, and responses to custom form fields
  • Support Tickets: Subject, message content, and any follow-up communications
  • Account Credentials: Email address (for parent accounts via magic link) or email and password (for staff accounts)

Payment Information

We use Stripe to process credit/debit card and ACH (bank account) payments. Full card numbers and bank account details are collected and processed directly by Stripe and never touch or are stored on our servers. We retain only the last four digits of your card and the card brand for receipt and reference purposes.

Information Collected Automatically

  • Session Data: We use a single, essential session cookie to keep you signed in. This cookie is encrypted, HTTP-only, and cannot be read by JavaScript running in your browser.
  • Error Logs: If an error occurs while you use our site, diagnostic information may be sent to our error tracking service. Email addresses are automatically redacted before transmission.

Information We Do Not Collect

We do not use analytics trackers, advertising pixels, third-party cookies, device fingerprinting, geolocation tracking, or any form of behavioral advertising technology.

3. How We Use Your Information

We use the personal information we collect solely for the following purposes:

  • Processing and confirming registrations
  • Processing payments and generating receipts
  • Communicating with you about your registrations, payments, and account
  • Responding to support tickets and inquiries
  • Administering programs, tracking enrollment, and managing capacity
  • Generating receipts for scholarship reimbursement purposes

We do not sell, rent, or trade your personal information to any third party. We do not use your information for marketing or advertising purposes.

4. Third-Party Services

Stripe (Payment Processing)

Stripe processes all payment transactions. Card numbers and bank account details are collected directly by Stripe's secure, PCI-compliant infrastructure. We never see or store full payment credentials.

Resend (Transactional Email)

Resend delivers transactional emails on our behalf (e.g., sign-in links, registration confirmations, payment receipts).

Cloudflare R2 (Document Storage)

Receipt PDFs are stored securely on Cloudflare R2. Access is restricted to authenticated users.

5. Children's Privacy

Our platform collects limited information about students (minors), including first name, last name, and date of birth, solely for the purpose of program registration. This information is provided by the parent or legal guardian, not by the child directly.

6. Data Security

  • Encryption in Transit: All data is transmitted over HTTPS
  • Password Hashing: Staff passwords are hashed using Argon2
  • Session Security: Session tokens are hashed with SHA-256 before storage
  • CSRF Protection: Cross-site request forgery protections are enabled on all form submissions
  • PCI Compliance: Payment card data is handled entirely by Stripe's PCI DSS Level 1 certified infrastructure

7. Data Retention

  • Registration and Payment Records: Retained for a minimum of seven (7) years for tax and scholarship reimbursement purposes
  • Receipt PDFs: Retained indefinitely for scholarship reimbursement documentation
  • Session Data: Automatically expires after 30 days of inactivity

8. Your Rights

  • Access: You may request a copy of the personal information we hold about you and your children
  • Correction: You may update your information through the Parent Portal or by contacting support
  • Deletion: You may request deletion of your personal information, subject to legal retention obligations
  • Data Portability: You may request your data in a commonly used electronic format

9. Cookies

We use a single, essential cookie to maintain your authenticated session. It is HTTP-only, Secure, and has SameSite protections. We do not use analytics cookies, advertising cookies, or any third-party cookies.
